Privacy Policy
Last updated: 29 September 2026
This policy explains what personal information Label Ready Hub collects when you use www.labelreadyhub.uk, why, who it is shared with, how long it is kept, and the choices and rights you have.
1. What we collect
- Account: your name, email address and a password (stored only in hashed form by our login provider). If you sign in with Google, Google shares your name, email address and profile picture with us. We record when you confirmed you are 18 or over and accepted our terms, and which version you accepted.
- Profile: anything you add, such as a bio, photo and SoundCloud or Instagram links. For mentors: photo, biography, credits, specialties, languages, prices, availability, artist links, embedded tracks and audio clips, the country you’re paid in and whether Stripe payouts are set up.
- Mentor applications: your name, email, bio, experience, label credits, teaching approach, languages, timezone, capacity and proposed price.
- Bookings and sessions: the times you book, what you want to focus on, notes and briefs you write, meeting links, recording links your mentor adds, assignments and feedback, reviews, and any no-show reports.
- Payments: handled by Stripe. We receive the amount, currency, status, any promo code used and Stripe reference numbers, never your full card number. Mentors give identity and bank details directly to Stripe to receive payouts.
- Messages and community: chat messages between students and mentors, forum posts, comments and votes, content reports, and mentors you save.
- Labels: if you run a label, the label’s details and your team role. If you send a demo, your artist name, links, the track link and your note.
- Support and email: what you send through the support form, your email preferences and when you gave or withdrew consent for optional emails, and your email address if you join the mailing list.
- Purchases: the digital products you buy or claim, and when you asked for a download to start straight away.
- Technical information: IP address, browser and device details and request logs, kept by our hosting providers for security and troubleshooting. When you’re signed in, your browser’s timezone is saved to your account so emails and reminders show your local time. We also keep a random visitor ID in your browser to count mentor profile views (see section 7) and record clicks on partner links.
2. How we use it, and why we’re allowed to
- To create and run your account, bookings, messages, demos and purchases, and to send the emails that go with them (confirmations, reminders, waitlist alerts, receipts and download links). This is needed to provide the service you asked for.
- To take payments, issue refunds, pay mentors and prevent fraud and abuse. This is needed for the service, to meet legal obligations (such as tax records), and in our legitimate interest in a safe marketplace.
- To keep the site secure, for example by checking sign-ups with Cloudflare Turnstile and limiting repeated failed logins, in our legitimate interest in protecting accounts.
- To moderate the community, deal with reports and enforce our Terms of Service, in our legitimate interest in keeping the platform safe, and to meet our duties under the UK Online Safety Act.
- To protect people from scams and keep bookings and payments on Label Ready Hub. We automatically check chat messages, session briefs and mentor profiles for email addresses, phone numbers, payment or messaging apps and arrangements to move sessions or payment off the platform. A match may show you a reminder and is recorded for a person to review. That person may read the conversation it came from and makes any decision; nothing is decided by the software alone. This is in our legitimate interest in a safe, fair marketplace, and supports section 8 of our Terms.
- To understand how the site is used, in aggregate, so we can improve it, and to show mentors on the VIP plan how many people viewed their profile. These are our legitimate interests. You can switch off visit counting in section 7.
- To send the newsletter and other optional emails, only with your consent. You can withdraw it at any time with the unsubscribe link in every email or in your settings.
- To keep records and respond to authorities where the law requires.
We do not sell your personal information, and we don’t share it with anyone for advertising. We don’t make decisions about you based solely on automated processing that have legal or similarly significant effects.
3. Who can see your information
- Everyone: mentor profiles; label profiles; your display name, photo and posts in the community; reviews; and, on Rankings (if you appear there), display name, photo and session counts.
- Your mentor: when you book, your name, email address and what you wrote for the session.
- Students who book a mentor: the mentor’s meeting link and session details.
- A label you send a demo to: your artist name, links, track link, note and account name.
- Us: Joshua Dorgans, as operator, can access account and booking data where needed to run the service, handle support and reports, and resolve disputes.
- Authorities: only where the law requires it, or to protect someone from serious harm.
4. Service providers and where your data is processed
We use providers who process information only on our instructions, to provide their service:
- Supabase: database, login and file storage (servers in Singapore).
- Vercel: website hosting and cookie-free visit counts (global network, United States).
- Stripe: payments, refunds, tax calculation and mentor payouts (United States, Canada and other countries).
- Resend, using Amazon Web Services: sending email (Japan and United States).
- Cloudflare: bot protection on sign-up and login (Turnstile), and delivering email sent to our support address.
- Google: optional sign-in with Google, and the website’s fonts (Google Fonts), which your browser downloads from Google.
- jsDelivr: delivers a code library the site needs to run.
- SoundCloud, Spotify and YouTube: music and video players embedded on mentor, label and community pages (see section 7).
Your information is therefore stored and processed outside the country you live in, including in Singapore, the United States, Japan and Canada. Label Ready Hub is run remotely, so we may also access information from the country we are working in at the time, always through our providers’ secure, encrypted admin tools and never by keeping copies on personal devices.
For people in the UK and EEA, transfers are protected by an adequacy decision where one exists (the UK and EU both recognise Canada, and certified US companies under the EU–US Data Privacy Framework and its UK Extension). Otherwise they are protected by our providers’ standard contractual clauses or the UK International Data Transfer Addendum. You can ask us for more detail about any transfer.
5. How long we keep it
- Account and profile information is kept while your account is open, and deleted when you delete it.
- Records of bookings, payments, refunds and payouts are kept for 6 years after the end of the tax year they relate to, because tax law in Canada and the UK requires it. Stripe keeps its own payment records as the law requires.
- Posts you made publicly in the community may remain after you close your account unless you delete them first or ask us to remove them.
- Security logs kept by our hosting providers are deleted automatically after a short period.
- Records of automated off-platform checks, content reports and our decisions on them are kept for up to 3 years, so repeat behaviour can be recognised.
- If we ban an account, we keep its email address, in a standardised form, for as long as the ban lasts, so it can’t be used to sign up again.
6. Your rights
Depending on where you live, you can ask to access your information, correct it, delete it, receive a copy in a portable format, restrict or object to how we use it, or withdraw consent you gave (such as for the newsletter). Signed-in users can download a portable JSON copy of their account data from Settings, including their profile, bookings, briefs, messages, reviews, assignments, purchases and notification history. Students can also edit their profile and delete their account from Settings; for anything else, email support@labelreadyhub.uk. We reply within one month (30 days under PIPEDA), and we may need to confirm it’s you first. Using your rights is free.
If you’re unhappy with how we’ve handled your information, please tell us first. You can also complain to a data protection authority: in Canada, the Office of the Privacy Commissioner of Canada; in the UK, the Information Commissioner’s Office; in the EEA, the authority where you live.
7. Cookies and browser storage
We don’t use advertising or tracking cookies. What the site keeps in your browser:
- Strictly necessary: your login session, so you stay signed in; a count of failed logins, to slow down password guessing; and Cloudflare Turnstile’s security check on sign-up and login.
- Your choices: small preferences such as a dismissed banner, the last tab you used, and a referral code you arrived with.
- Visit counting: a random visitor ID, so a mentor’s profile views are counted once a day per browser. It isn’t linked to your account, and mentors only ever see totals. The UK allows this for statistics without asking first, as long as you can switch it off, which you can do below. We also honour your browser’s Global Privacy Control signal.
We count page visits with Vercel Web Analytics, which sets no cookies and stores nothing in your browser. It records which page was viewed, the referring site, and your country, browser and device type, not who you are.
Music and video players. Pages that show a SoundCloud, Spotify or YouTube player load it from that service, which may set its own cookies under its own privacy policy. YouTube players use YouTube’s privacy-enhanced mode. You can block third-party cookies in your browser settings and the players will still play.
Visit counting is on for this device. Switch it off
You can also clear stored data at any time in your browser settings, although you’ll be signed out.
8. Age limit
Label Ready Hub is only for adults. You must be 18 or over to create an account, and we don’t knowingly collect information from anyone younger. If we learn that someone under 18 has an account, we will close it and delete their information, except anything we must keep by law. If you think a child is using the site, email support@labelreadyhub.uk.
9. Security
Information is encrypted in transit, access to it is restricted by account and role, admin access needs two-factor authentication, and card details never touch our systems. No system is perfectly secure, but if a breach affecting your information happens, we will tell you and the relevant authorities as the law requires, and we keep a record of every breach.
10. Changes to this policy
We’ll update this page when our practices change and change the date above. If a change is significant, we’ll let you know on the site or by email, and ask you to review it the next time you sign in.
